How Rivers State SUBEB runs its schools on Cloudnotte.
The Rivers State Universal Basic Education Board (RSUBEB) is in charge of public nursery, primary and junior secondary schools in all 23 local government areas of Rivers State. We worked with the board to take its work online, so it can see what is going on in its schools, act faster and keep proper records of every school.
What we built together
What the board can do with it
The tools the board and its schools use every day.
See how every school is doing
The chairman and the board can see each school's attendance and results on one screen. Schools that need help stand out at a glance, so support goes where it is needed first.
Fingerprint attendance
Pupils and staff clock in with their fingerprint. The system flags ghost workers and pupils who keep missing school.
Digital report sheets for the whole state
Every school's report sheets are kept online in the same format. Parents, schools and the board can open them anywhere, at any time, and results from all schools can be compared fairly.
Computer-based testing that works 100% offline
Computer-based exams run fully offline, with no internet needed. They also work on low-cost computers and devices, so every school can take part, not only the well-equipped ones.
One lesson note format for all teachers
Every teacher has their lesson notes on the system, ready to open on any device. The format is the same in every school, and head teachers and supervisors can check them online.
Staff transfers and postings
Move teachers and staff between schools in the system. Their records go with them, and the board always knows who is where.
Staff and pupil records
Every teacher, staff member and pupil has one record that stays with them from school to school.
What changed for the board
Here is what the board gets from running its work on one system.
More transparent
All records are kept in one system, not in scattered files. The board, its departments and the schools all see the same information.
More accountable
Every staff member signs in with their own account. It is clear who is responsible for each task, and work can be followed up.
Data at hand
The board can pull up the figures it needs in a few clicks, instead of searching through paper files. Decisions are based on facts.
Less paperwork
Fewer forms to fill and fewer trips to the office. Staff and schools have more time for teaching and learning.

From the Chairman
Today I can see what is happening in every LGA and across the board at a glance. Attendance, results and records are all in one place, so we know which schools need support and we can act quickly. It has made our work more open and more accountable.
How it made the ICT team's work easier
The board's ICT unit looks after the systems, the data and the people who use them. This is what changed for them.
One system to look after
BeforeDifferent tools, spreadsheets and paper forms for different departments, each needing its own support.
NowOne system for the board and its schools. One place to fix things, one place to train people on.
Staff accounts in one place
BeforeKeeping track of who had access to what, and helping people who were locked out.
NowEvery user has one account. Access, roles and password resets are handled from one screen.
School data without the chase
BeforeSending forms to schools, waiting for them to come back, then typing them in for the census and reports.
NowSchools enter their data on the system, so the figures are already there when reports are due.
A support team behind them
BeforeEvery problem landed on the ICT unit alone.
NowThe Cloudnotte team supports the ICT unit with training, updates and help when something goes wrong.
